By registering for and/or purchasing a ticket to attend the Diverse Voices Conference (“the Conference”), you (“the Attendee”) agree to the following Terms & Conditions and Liability Waiver. These terms are legally binding and apply to all ticket holders, regardless of payment method or attendance status.

1. Ticket Sales, Payments, and Refund Policy

All ticket sales are final. No refunds will be issued under any circumstances, including illness, scheduling conflicts, travel disruptions, or non-attendance. This policy includes the ticket price and all associated payment processing fees.

All online payments are processed through Stripe, a secure third-party payment processor. By completing your transaction, you agree to Stripe’s Terms of Service and Privacy Policy. The Conference organizers do not collect or store your full payment information (e.g., credit card numbers).

Ticket transfers are permitted only under exceptional circumstances and at the sole discretion of the Conference organizers. Requests must be submitted in writing and approved in advance. We reserve the right to deny or limit transfers at any time.

Government agencies and attendees who require invoicing or wish to pay by cheque may select the “Invoice Me” payment option at checkout. Invoices must be paid in full prior to receiving conference access or materials.

2. Event Modifications & Delivery Format

The Conference organizers reserve the right to change any aspect of the event, including the schedule, speakers, session topics, venue, or delivery format (e.g., from in-person to virtual) without prior notice. No refunds will be issued in the event of such changes.

3. Code of Conduct

We are committed to providing a respectful, inclusive, and harassment-free environment. All attendees are expected to behave professionally, treat others with respect, and refrain from harassment, discrimination, or disruptive conduct. Attendees must comply with all directions from event staff and volunteers. The organizers reserve the right to remove any attendee from the event without refund for violation of this policy.

4. Assumption of Risk & Liability Waiver

By attending the Conference, you acknowledge and accept that you participate at your own risk. The organizers are not liable for any personal injury, illness, property loss, or damage arising from your attendance. You release the Conference, its fiscal agent (Edmonton Family Violence Prevention Centre), Steering Committee, volunteers, vendors, and associated personnel from any and all claims.

6. Photography, Video, & Media Consent

By attending the event, you grant permission to be photographed, recorded, or filmed by the Conference or its authorized partners. These materials may be used for promotional, archival, or informational purposes. If you do not wish to be recorded, please notify a staff member at the registration desk upon arrival.

7. Privacy Policy

We collect only the personal information necessary to register you for the event and communicate event updates. Your data is managed in accordance with Alberta’s Personal Information Protection Act (PIPA). Your information will not be sold or shared with third parties, except as required by law or payment processing.

8. Accessibility

We strive to make the Conference accessible to all attendees. If you require specific accommodations, please contact us at diversevoicessteercommittee@gmail.com prior to the event so we can support your needs.

9. Force Majeure

We are not liable for event cancellations, delays, or format changes caused by factors beyond our control, including but not limited to extreme weather, government orders, public health emergencies, labor disputes, or utility failures. In such cases, we reserve the right to transition the event to a digital format or modify the schedule without offering refunds.
